Typing Speed Requirements for Jobs by Role

Plenty of job posts still list a typing speed, and applicants routinely either panic about the number or ignore it entirely. Both are mistakes. Here's what the requirements typically look like, what they actually mean, and how to walk in with evidence instead of an adjective.

One caveat up front: requirements vary by employer, industry, and country. The ranges below reflect what commonly appears in job postings and career guidance. Treat them as orientation, and always trust the specific posting over any article, including this one.

There is exactly one set of typing requirements that is published, verifiable, and binding on a large employer, so let's start there.

The only published standard: the U.S. federal government

The Office of Personnel Management sets qualification standards for federal clerical work. The qualification standards for clerical and administrative support positions set these proficiency thresholds:

Two things fall out of that table.

The famous "40 WPM" is real, but it is measured strictly

The 40 WPM figure repeated everywhere as the professional typing bar is the actual federal requirement for Clerk-Typist and Office Automation positions. What gets dropped in the retelling is the unit. The standard's footnote defines words per minute as a five minute sample with three or fewer errors, so it is net speed over a long sample with a hard error ceiling, not a one minute gross score. The lower 20 and 25 WPM entries are data transcription duties, where the alternative qualification is skill on an alphanumeric transcribing machine, so they are not a general typing floor.

The standard also lets applicants qualify by performance test, by certificate of proficiency, or by self-certification, with results acceptable for three years. Agencies may retest a self-certified applicant, which is a good reason to certify a number you can repeat with someone watching.

Private employers ask for more than the government does

That is genuinely strange, and worth knowing when you read a posting demanding 60 WPM for general admin work. Private numbers are set by whoever wrote the job ad, not by any standards body. They are real requirements you have to clear, but they are not evidence of what the work needs.

Typical ranges by role

General office and administrative assistant, often 40 to 50 WPM. The floor here is about not being bottlenecked: email, scheduling, document edits. Many postings don't state a number at all; when they do, 40 to 50 is the common band, with accuracy usually mattering more than raw pace.

Data entry, commonly 50 to 60 WPM, or quoted in KPH. Data entry postings often skip WPM and ask for keystrokes per hour, with 8,000 to 10,000 KPH being a frequently cited range. Two things to know: KPH tests often include numeric-keypad work, which is a separate skill from prose typing, and accuracy thresholds (sometimes 98%+) are usually the harder bar. If a posting says 10,000 KPH, that's roughly comparable to the raw output of a 30 to 35 WPM prose typist. The speed is rarely the hard part; sustained precision is.

Transcription, typically 60 WPM and up. Transcription pay is effectively per audio-minute, so speed is income. General transcription work commonly expects 60 to 80 WPM; experienced transcriptionists often work faster. Specialized fields (legal, medical) layer terminology and formatting on top, and real-time work like captioning is a different profession with much higher requirements and dedicated equipment.

Executive assistant, legal secretary, and similar, sometimes 65 to 75 WPM and up. Roles built around producing documents under time pressure tend to post the highest general-keyboard numbers.

Customer support and chat-based roles, often unstated, practically ~50+ WPM. Live chat roles rarely print a number, but agents juggle multiple conversations; comfortable, accurate speed directly affects how many.

How these compare to the measured average

Useful context for reading any of the numbers above: the largest measurement of typing speed ever published (136 million keystrokes from 168,000 people, Aalto University, CHI 2018) found an average of 52 WPM.

So a 50 WPM data-entry requirement is roughly "average." A 70 WPM executive-assistant posting is asking for meaningfully above average. And a 25 WPM federal transcription floor is asking for about half of average. That single number makes most postings readable.

How employers actually test

Three patterns show up:

  1. A stated requirement, tested at interview. Usually a supervised 3 to 5 minute test.
  2. A stated requirement, never tested. Common, and the number filters applicants who'd struggle.
  3. No stated number, but a skills assessment. Typing bundled into a broader software test.

Because the supervised test is usually several minutes long, prepare with the format you'll face: your 60-second sprint score will be higher than what you can hold for five minutes, and the employer's test knows it. Meet the number with margin

Test-day conditions are worse than practice conditions: unfamiliar keyboard, someone watching, stakes. Standard advice that holds up:

  • Clear the requirement by ~10 WPM in practice. A 50 WPM requirement means training to a comfortable 60.
  • At 97%+ accuracy. Most assessment tools report net speed, so errors subtract directly from your number. (How that math works.)
  • On multi-minute tests. Benchmarks under three minutes overstate what you'll show in an assessment.

Put a number on your resume (with receipts)

"Strong typing skills" is filler; "68 WPM at 98% accuracy (5-minute test)" is information. Once your practice scores stabilize, document them:

Be straight with yourself about what it is: a self-administered result, not a supervised exam. A serious employer may still retest you, and that's fine.
